Programme Manager SRH Education

 

This Position will work under supervision of Country Representative. The major responsibilities are as follows:

Major Responsibilities:

  • Develop and manage SRHR education programme in Pakistan
  • Partners’ selection, contracting and networking
  • Plan and organise programme activities with support of programme staff and partner NGOs
  • Coordinate programme implementation and grant management in line with the approved work plan
  • Institutionalize SRH Rights in demand mechanism of social service i.e. Education
  • Develop Training modules and coordinate trainings and technical support to the implementing partners of the projects
  • Ensure implementation of programme  / project targets, timely release of funds to partners and effective utilization
  • Provide technical backstopping to the NGOs involved in implementation of the sexuality education project
  • Develop and maintain programme related database with complete information about project related facts and figures.
  • Develop LSBE / Sexuality Education Curriculum for young people
  • Ensure incorporation of feedback from stakeholders into curriculum
  • Manage logistics regarding project related events
  • Review monthly and quarterly reports from the partner NGOs and feedback to them
  • Develop and maintain linkages with concerned government departments and relevant ministries of Government of Pakistan.
  • Ensure preparation and submission of quarterly and annual programme progress reports and necessary information to Programme Learning, Communication & Resource Mobilization.

Programme Manager Institutional Strengthening

 

This Position will work under supervision of Country Representative. The major responsibilities are as follows:

Major Responsibilities:

  • Develop training programmes for strengthening of Government, CSOs and Media on SRHR issues
  • Partners’ selection, contracting and networking
  • Programme implementation and grant management in line with the approved work plan
  • Ensure the smooth running of programme activities by providing technical back stopping.
  • Plan and organise programme activities with support of programme staff and partner NGOs
  • Institutionalize SRH Rights in Supply Mechanism of Social Service: Health & Population Welfare
  • Strengthening Government Ministries / Government officials, Partner NGOs, CSOs, Media, Religious Leaders, policy makers , parliamentarians
  • Information sharing , documentation and learning forums
  • Ensure timely release of funds to partners and effective utilization
  • Review monthly and quarterly reports from the partners and feedback to them

Programme Manager WeAct

 

This Position will work under supervision of Country Representative. The major responsibilities are as follows:

Major Responsibilities:

  • Programme implementation and grant management of relevant projects in line with the approved work plan
  • Develop and implement SRHR Advocacy strategy of WPF, Pakistan for policy reforms
  • Formation and strengthening of youth groups (i.e. YAN, NYTF etc) to organise SRH Advocacy campaign
  • Organise National learning forums of WPF’s Programmes / projects
  • Organise policy advocacy forums
  • Develop and maintain programme related database with complete information about project related facts and figures
  • Advocacy follow-ups with National / District Provincial Steering Committees / project (s) task force(s)
  • Developing and implementing Adolescents Development Strategy and advocacy for attaining National Advocacy Policy.

  • Manage Web-based processing of Monitoring & Evaluation data
  • Dissemination of WPF publications through Website
  • Sharing of information about WPF projects and their achievements to stakeholders
  • Ensure large scale coverage of WPF activities
  • Develop video documentaries as per project target
  • Manage data of pre and post tests / evaluations
  • Develop and maintain LSBE Portal

Programme Manager Learning Communications & Resource Mobilization

 

This Position will work under supervision of Country Representative. The major responsibilities are as follows:

Major Responsibilities:

1. Design and implement SRH Rights Monitoring Framework for WPF Pakistan 2. Develope MER framework for WPF Pakistan
3. Develop and implement M & E Plan for each organizational programme / project including:

  • Setting logical frameworks of the projects
  • Develop monitoring schedule
  • Cost estimates of M & E schedule
  • Field monitoring of projects / programme activities
4. Capacity building of WPF Programme partners and project staff in MER
5. Work with WPF Staff and partner organizations to review ongoing programmes / projects results, assess progress, identify problems and solutions-MIS
6. Work with national / district project steering committees to ensure release of annual SRHR Monitoring reports
7. Work with Manager IT for effectively managing web based MER data processing system
8. Processing of project information from relevant programmes , dissemination through communication department and effective utilization of information for further resource mobilization
9. Manage regular internal and external evaluation of the programmes

This Position will report to Programme Manager WeAct. The major responsibilities are as follows:

Major Responsibilities:

  • Developing training modules and coordinate trainings and technical support to the implementing partners of the projects

Assistant Programme Officer, Communication

 

This Position will report to Programme Manager Learning, Communication & Resource Mobilization. The major responsibilities are as follows:

Major Responsibilities:

  • Develop and implement an approporiate WPF Pakistan’s Communication Strategy.
  • Develop and maintain close contacts with national and international media on issues relating to SRHR.
  • Organise media events (press conferences, festivals, forums and briefings), develop fact sheets and talking points, line up interviews and undertake all media activies related to WPF Programmes / projects.
  • Identify and develop opportunities for promotion of WPF’s SRHR programmes / projects and share information with regional and international SRH Networks.
  • Develop communication and IEC materials e.g. brochures, videos, audios, flyers and support programmes in developing their IEC.
  • Prepare Annual Fundraising Strategy for raising funds from corporate sector.
  • Corporate Donors’ scanning for effective fundraising.
  • Organise WPF’s fundraising events for its promotion to potential corporate / non-traditional donors.
  • Design campaigns / presentations for WPF’s projects’ publicity and identify potential funding for expansion.
  • Provide the leadership and long term vision necessary to significantly increase the organization's pre-eminence in fund-raising.
  • Lead and prepare the Programme staff in developing and implementing strategies to ensure a successful annual campaign for fund raising.

Program Officer HR & Partnership Development

 

This Position will work under supervision of Country Representative. The major responsibilities are as follows:

Major Responsibilities:

1. Manage administrative function and establish internal administrative systems and controls.

  • View and assess potential office space according to pre-determined criteria
  • Negotiate prices, leases, and contracts in consultation with CR and Finance Office
  • Set up WPF office, including furnishings, fittings, and equipment
  • Arrange for office security
  • Arrange for installation of all the utilities

2. Establish and maintain WPF office and its assets; e.g.

  • Maintain office records
  • Act as focal point for suppliers or service providers for procurements and repair & maintenance activity
  • Take initiative on cutting costs without compromising quality

3. Manage administrative function and establish internal administrative systems and controls

4. Manage human resource policies and procedures, including salary reviews, provident fund, employee manual and health insurance administration

5. Ensure proper use and maintenance of physical assets and office, including vehicles, equipment, furniture and office building. Arrange for repairs as necessary

Finance Officer

 

This Position will work under supervision of Country Representative. The major responsibilities are as follows:

Main Tasks

  1. Provide financial and accounting management and direction to WPF 
  • Maintain systems and controls to ensure the efficiency, integrity and transparency of the WPF Pakistan office operations in accordance with guidelines provided by WPF Head Quarters and internationally accepted accounting standards.
  • Maintain effective control over cash and bank, and ensure that cash in hand and bank reconcile with accounting records. Ensure that the field office and sub-office funds are adequately managed.
  • Assist and support the Programme Manager and Country Representative in the preparation of budgets for project proposal and annual field office budgets.
  • Ensure the effective and efficient working of budgetary, accounting, reporting and internal control systems for the field and all sub-offices.
  1. Ensure the financial integrity of the operation with regards to controls, systems, financial reporting, and resource development.
  • Ensure all accounting records and supporting documentation for all financial transactions is maintained in a systematic order and in safe and secure conditions in the field office and sub-offices.
  • Maintain accurate and effective financial controls on all transactions incurred by the Pakistan office as part of project implementation and other related costs.
  1. Contribute fully to implementation and oversight of technical assistance to WPF staff and partners   in the area of financial accounting and management.
  • Assist and support the Programme Manager and Country Representative in ensuring that field expenditures meet WPF and institutional donor requirements and remain within the approved plans and budgets.
  1. Prepare Budget and Financial Reports
  • Prepare WPF Pakistan office Budget in consultation with the Country Representative and all the departments.
  • Provide the Country Representative for Pakistan with complete, accurate and timely financial reports, including institutional donor reports where required for all projects implemented in the field office, in the required formats.
  • Provide quarterly and where required monthly financial reports to the WPF Head Office.
  1. Additional responsibilities
  • Liaise with external auditors, government departments, banks regularly.
  • Manage and undertake local internal audits of the Pakistan office including implemented projects.
  • To work as part of a team and liaise with the Programme Manager and Country Representative, field office and HQ Finance, Overseas Programme and Resource Mobilisation departments.
  • Ensure respective programme managers understand variance implications.
  • Assist Office Manager to ensure contractual commitments (e.g. for the rental of vehicles and/or premises) that are expressed in forms appropriate for the circumstances of the programme.

Program Officer Capacity Development

 

This position will work under supervision of Programme Manager-Strengthening of Local Institutions. The major responsibilities are as follows:

Major Responsibilities:

  • Coordinate all kind of training activities.
  • Plan training activities: their schedule, venues, details of the training programme in consultation with the partners.
  • Facilitate the trainings of teachers and partners when and where necessary.
  • Responsible for logistic arrangement of training workshops according to the training schedule.
  • Ensure the availability of the relevant training material during the trainings.

Additional Responsibilities:

Project Manager Schools

 

The position will report to Programme Manager SRH Education:

Major Responsibilities:

  • Partners’ selection, contracting and networking in Formal Education Project
  • Institutionalize SRHR Education in schools as per work plan
  • Ensure the smooth running of programme activities into schools by providing technical back stopping.
  • Plan and organise programme activities with support of programme staff and partner NGOs. Such as:
    • Technical Assistance
    • Curriculum development
    • Conducting Pre and Post Test
    • Selection of schools, teachers, students
    • Training of Teachers
    • Curriculum delivery
  • Regularly organise PDFs, PRFs, media forums
  • Review monthly and quarterly reports from the partner NGOs and feedback to them
  • Develop training modules and coordinate trainings and technical support to the implementing partners of the projects

Finance Assistant

 

This position will work under supervision of Finance Officer. The major responsibilities are as follows:

Major Responsibilities:

  • Cash management in Daily Operations
  • Petty cash handling
  • Cash and Bank payments with preparation of supporting documents for approval
  • Tax at source deduction-Depositing Tax in Bank within due time
  • Cash withdrawal from Bank for petty cash payments
  • Staff medical reimbursements and maintenance of staff medical record
  • Assist Finance Officer in providing financial and accounting management and directions to WPF
  • Monthly preparation of bank reconciliation statements of all WPF Bank Accounts within Pakistan

Assistant Administration Officer

 

The position of the Administrative Assistant is to assist Office Manager in providing the full support to office management and staff.

Major Responsibilities:

  • Establish and maintain a secure system to receive, distribute and dispatch mail after entering into register.
  • Distribute letters, memos, faxes and other documents.
  • Make photocopies, oversee photocopying work of peon/intern and ensure that photocopy and fax machines are in good working order.
  • Establish and maintain a filing system allowing for easy retrieval by staff.
  • Maintain WPF Communication supplies- phone / fax etc.
  • Ensure that telephone exchange is properly used and kept in good working condition; ensure repair and maintenance as necessary.
  • Attend visitors.
  • Ensure that guards are active and that they record the details of visitors in the register provided.
  • Maintain up to date staff leave records and prepare accurate periodic leave reports after reconciliation with attendance register and other records.
  • Keep kitchen and office supplies’ inventory records and maintain minimum required stock level at all times.
  • Act as focal point for suppliers or service providers for procurements and repair & maintenance activity.

Driver

 

This position will work under supervision of Programme Officer HR, Coordination and Partnership development. Major responsibilities are as follows:

Major Responsibilities:

  • Drive Safely
  • Drive WPF vehicle carefully and defensively
  • Follow traffic rules and regulations
  • Transport all WPF staff and visitors safely
  • Clean and maintain interior and exterior of vehicles regularly
  • Check and replenish fuel, oil and lubricants on daily basis
  • Communicate with supervisor regarding all trips
  • Record vehicle usage in the log book on daily basis and get log book reviewed by supervisor on regular basis
  • Make sure that vehicle has proper tools in case of roadside problem
  • Ensure that road tax, insurance cover etc. are up to date and keep a certified copy of vehicle registration book at all times
  • Demonstrate continual vigilance to the highest degree of driver’s courtesy for both other drivers and pedestrians
  • Follow WPF vehicle policy and procedures
  • Ensure security of vehicle and possessions inside vehicles at all times.

Chef

 

This Position will work under supervision of Programme Officer HR, Coordination and Partnership. Chef is responsible for the preparation of catering for WPF Pakistan’s office and in-house training sessions. The responsibilities includes:

Major Responsibilities:

  • Prepare menus in collaboration with WPF’s Administrator and make the requisite purchase of ingredients and equipment.
  • Prepare and cook food according to daily meal plan.
  • Operate and oversee use of appliances including, ovens, refrigerator and other small kitchen appliances. Inform the administration if there is a need to repair any appliances.
  • Determine food needs and quantities based upon daily usage and menus planned.
  • Provide input and suggestions on menus for special functions and events to daily lunch menu.
  • Ensure smooth execution of events in manager’s absence.
  • Maintain standards of sanitation and kitchen hygiene.
  • Perform other duties as assigned by management / staff.

 


 

Office Boy

 

The position will work under supervision of Programme Officer HR, Coordination and Partnership. The major responsibilities are as follows:

Major Responsibilities:

  • Maintain cleanliness and standards of sanitation in the office premises
  • Maintain kitchen hygiene
  • Help in kitchen as required i.e. serving tea/coffee, arranging food on table etc.
  • Make small purchases as required by office management.
  • Help staff in day to day administrative affairs.
  • Perform other duties as assigned by management / staff.
